db3 ConServe — QuickBooks Online Integration ("Connect to ConServe")

1. Scope

"Connect to ConServe" is an internal application operated by db3 / ConServe ("we", "us"). It connects to the company's own QuickBooks Online account (Intuit) to read the company's own accounting records for internal financial operations. It is not a consumer product, is not distributed to third parties, and is used only by authorized db3 personnel.

2. Information we access

Through Intuit's QuickBooks Online Accounting API (scopes com.intuit.quickbooks.accounting and com.intuit.quickbooks.payment), the application reads the company's own:

Invoices, bills, purchases, and journal entries (including line items)
Customers and projects/jobs (Customer:Job)
Balance sheet and accounts receivable / accounts payable aging

The application reads company financial data only. It does not access personal consumer accounts and does not request data beyond the connected company.

3. How we use it

Data is used solely for internal financial reconciliation: job-level cost accounting, work-in-progress, progress billing, and accounts-receivable reporting within db3's internal operations portal.

4. Storage and security

Data is stored in our Supabase (PostgreSQL) project and transmitted over TLS.
Data is encrypted at rest by the database provider.
Access is restricted by row-level security to authorized db3 owners and staff.
API credentials (client secret and OAuth refresh token) are held in an encrypted secrets vault, never in application code or client-side storage.

5. Sharing

We do not sell or share this data with third parties. It is processed only by db3 and the infrastructure providers that operate the system (Intuit, Supabase, Cloudflare).

6. Retention and deletion

Accounting data is retained for as long as needed for internal financial reconciliation and applicable record-keeping. The connection can be revoked at any time from QuickBooks Online; on disconnection or on request, synchronized data is deleted from our systems.
